Job announcement: Career Development Center Administrative Assistant

It is a full-time, local position based in Qena, Egypt. Position Summary
The administrative post reports to the Career Development Center Manager (CDC Manager) and is responsible for providing administrative support to staff and for record keeping, registration, and reception and supporting the day to day operations of the CDC. These duties include but are not limited to those set out below.

DUTIES AND RESPONSIBILITIES:

Assume receptionist duties, greet public and refer them to appropriate staff members, answer phone, route calls, and take messages.

Maintain appropriate interpersonal relationships with CDC staff, peers, and students and other client groups

Assist the CDC Manager and staff with administrative duties as requested

Facilitate student registration and service utilization

Facilitate special event registration and execution

Operate in the maintenance and/or modification of data collection system, in conjunction with the CDC manager and staff

Maintain accurate daily accounting of fees, donations and other revenue

Assist with completion of reports as requested

Prepare all documentation agendas and correspondence as needed

Compile statistical information for Program manager, CDC Manager and relevant committees and Boards as requested

Develop and maintain CDC inventory system

Order office supplies and monitor inventory

Update and maintain mailing lists and data bases

Other duties as assigned



DESIRED QUALIFICATIONS

Training in Administrative and Office work

Excellent standard of spoken and written English and Arabic

Demonstrated written and oral communication skills

Demonstrated ability to work independently and as a team

Minimum two years clerical or administrative experience

Typing skills with at least 50 WPM

Experience working with Microsoft Office software (Word, Excel, PowerPoint)

Experience creating and maintaining an Access database system

Knowledge of general office machines and telephone system

Experience working in a challenging, dynamic environment and with diverse client groups.

High degree of discretion dealing with confidential information.

Ability and willingness to work some early mornings, evenings and weekend days.

PLEASE NOTE: The appointee may be expected to work outside of normal office hours when special events or training activities require.
